Description

We are seeking a detail-oriented and highly organized Accountant and Administrative Officer with strong accounting skills and extensive experience in QuickBooks to join our team. The ideal candidate will be responsible for overseeing and executing various financial and administrative tasks, ensuring accurate record-keeping, financial reporting, and smooth operations of day-to-day office functions. This role requires an individual who is analytical, proactive, and thrives in a fast-paced environment.

Work Schedule

Contract position requiring a minimum of 20 hours per week, with flexible scheduling. The role involves working half-days, Monday through Friday. Opportunity for full-time employment may be offered based on performance.

Responsibilities

Accounting and Financial Management

  • Maintain accurate and up-to-date financial records in QuickBooks, including accounts payable and receivable, general ledger entries, and payroll processing.
  • Preparation and submission of Belize Tax Service taxes (PAYE, Contract Tax, Business Tax, GST & Income Tax Preparation and so) in compliance with regulatory standards.
  • Prepare and manage monthly, quarterly, and annual financial reports including SIA monthly and quarterly regulatory reports.
  • Maintain monthly and end of year Fixed Assets Schedule (Depreciation)
  • Assist in budgeting and forecasting activities; provide analysis to help guide financial decisions.
  • Preparing the firm for annual audits and coordinating with the auditors for the audits;
  • Monitor and manage cash flow and expenses, ensuring compliance with financial policies and procedures.
  • Monthly Reconciliation of bank and credit card statements to ensure accuracy and resolve discrepancies promptly.

Administrative Support

  • Coordinate and execute general office administration, including office supplies management, correspondence, internal communications and scheduling meetings.
  • Support HR functions, including maintaining employee records, benefits administration, and assisting in onboarding processes.
  • Maintain Legacy’s Records Management System, both electronic and physical, to ensure easy retrieval and secure storage of important documents.
  • Social media management including our website.
  • Handle confidential information with the highest level of discretion and integrity.
  • Provide general support to management as needed.

Compliance and Auditing

  • Ensure compliance with internal controls, company policies, and Municipal Securities Act (MSA) and SIA regulatory requirements.
  • Assist with internal and external audits, preparing documentation as needed.
  • Develop and implement procedures to enhance accuracy and efficiency in financial and administrative processes.

Customer and Vendor Relations 

  • Serve as a primary contact for vendors and customers on accounting-related inquiries.
  • Manage vendor accounts, invoices, and payment processing.
  • Handle customer billing, payment collections, and account reconciliations

Qualifications/ Skills

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. An associate’s degree with over 5 years of experience may be accepted in special cases
  • Minimum 3–5 years of accounting or administrative experience (internship acceptable).
  • High Proficiency in QuickBooks, Microsoft Excel, Google Workspace, Adobe applications.
  • Strong organizational and multitasking skills.
  • High level of accuracy, confidentiality, and attention to detail.
  • Excellent communication and problem-solving abilities.
